Please read these terms before requesting or confirming a service. A booking request is not automatically a confirmed appointment. Service arrangements are confirmed after the requirements have been reviewed and the relevant details have been agreed.
Scope of These Terms
These Terms & Conditions apply to consultations and property-management services arranged through THE OAKPLACE MANAGED, operated by THE OAKPLACE GROUP SERVICES LTD.
The services are intended to provide practical support to property owners and clients who require assistance with property management matters.
The business may provide a tailored quotation or separate service arrangement where the requested work requires a defined scope, specific deliverables or an agreed project fee.
The exact scope, timing, deliverables and fee are confirmed after the client’s requirements have been reviewed.
Services We Provide
Depending on the client’s requirements, services may include practical property-management support such as maintenance coordination, tenant liaison, move-in checklist management and property condition inspections.
The services above are examples of the support available and do not mean that every listed activity is automatically included in every booking.
Booking and Confirmation
Consultation and service requests must be made at least 1 full day in advance. Same-day bookings are not available.
A request is reviewed before a booking is accepted. The client will receive confirmation after the service requirements, requested timing and practical arrangements have been reviewed.
An enquiry, form submission, email or telephone conversation does not by itself guarantee a booking. The appointment becomes confirmed only after the relevant arrangements have been agreed.
- Minimum booking notice: 1 full day.
- Same-day appointments are not available.
- Requested dates and times remain subject to availability.
- A booking is confirmed only after the arrangements are agreed.
- Additional information may be requested before confirmation.
Payment Arrangements
Payment arrangements are confirmed after the service requirements have been reviewed.
THE OAKPLACE MANAGED does not process online payments through this website.
After confirming the consultation or service details, customers will receive payment information and booking arrangements through our official communication channels.
Available payment methods may vary depending on the agreed service arrangement and customer requirements.
The applicable service fee, payment timing and any relevant arrangement will be communicated before the relevant paid work begins.
Payment arrangements are considered confirmed only after the service requirements and payment details have been agreed.
Client Responsibilities
Clients are expected to provide information that is reasonably accurate, complete and relevant to the requested service. Good information at the start helps avoid unnecessary delays later.
- Provide accurate contact details and relevant property information.
- Explain the requested service clearly enough for its scope to be understood.
- Provide agreed documents, information or instructions within the requested timeframe.
- Provide reasonable access where the agreed service requires access to a property.
- Inform us promptly if the property’s circumstances or service requirements change.
- Review information supplied for approval and raise any obvious errors as soon as reasonably possible.
Delays caused by missing information, unavailable access or changes made after work has started may affect the agreed timescale and may require the service arrangement to be reviewed.
Service Delivery and Timescales
We will use reasonable care to provide the agreed service within the discussed timeframe. Some services depend on information, access, tenant availability, contractors, suppliers or other practical circumstances.
Any estimated completion date is a practical estimate unless a specific date has been expressly agreed in writing.
Where circumstances change during a service, we may contact the client to explain the change and discuss a practical way forward.
A service is considered delivered when the agreed work or deliverable has been completed and supplied to the client through the agreed communication method.
Changes to an Agreed Service
A client may ask to change the scope of an agreed service. Changes are subject to review and may affect the service fee, timescale or deliverables.
Work outside the original agreed scope will not automatically be included in the original service fee. Where additional work is required, the revised arrangement will be discussed with the client before the additional work begins.
If a requested change makes the original service impractical, both sides may agree to adjust the service arrangement or end the remaining work under the applicable Cancellation & Refund Policy.
Cancellation and Refunds
Cancellations are handled under the separate Cancellation & Refund Policy applicable to the booking or service.
In general, cancellation requests should be made as early as possible. The refund position depends on the notice given and whether preparation or service work has already started.
| Cancellation Notice | General Refund Position |
|---|---|
| 4 or more days before | 100% refund of the eligible amount where no work has started. |
| 3 days before | 80% refund of the eligible amount where applicable. |
| 2 days before | 60% refund of the eligible amount where applicable. |
| 1 day before | 40% refund of the eligible amount where applicable. |
| Less than 24 hours | No refund normally available. |
| After work starts | Any refund is limited to an eligible unused amount, where applicable. |
| After completion | No cancellation refund normally available. |
Approved refunds are normally processed within 5 working days. The time for funds to appear in an account may depend on the relevant bank or payment service.
Property Access and On-Site Arrangements
Where a service requires access to a property, the client is responsible for ensuring that the agreed access arrangements are available at the scheduled time.
If access is unavailable, incorrect access information is provided, or the property cannot reasonably be accessed as arranged, the appointment may need to be delayed, rearranged or cancelled.
Additional time or work resulting directly from an avoidable access problem may require a revised service arrangement. Any additional fee will be discussed before additional chargeable work is carried out.
We will not enter a property where the agreed access arrangement does not reasonably permit us to do so.
Disclaimer and Reasonable Limitations
Practical Property Support, Not a Guarantee of Every Outcome
Our services are provided based on the information, access and circumstances available at the time. We will use reasonable care when carrying out agreed work, but we cannot guarantee a particular result where the outcome depends on tenants, contractors, suppliers, property conditions, third parties or circumstances outside our direct control.
Any discussion about likely costs, timing, maintenance requirements or practical next steps is based on the information available at that time and should not be treated as a guaranteed final outcome unless expressly confirmed in writing.
We are not responsible for delays caused by incomplete or inaccurate information, unavailable access, third-party availability, changes requested by the client, or other circumstances that could not reasonably be controlled by us.
We do not accept responsibility for decisions made solely on the basis of general information discussed during a consultation where the relevant property circumstances were not fully available to us.
Nothing in these terms is intended to exclude or restrict any responsibility that cannot lawfully be excluded or restricted.
Information and Records
Information provided by a client may be used to review service requirements, communicate about bookings, prepare quotations, deliver agreed services and maintain appropriate business records.
Booking and service information is handled in accordance with our Privacy Policy.
Where no service proceeds, basic enquiry records may normally be retained for up to 12 months after the last communication. Records relating to completed services may be retained for up to 7 years where reasonably required for business or accounting records.
Clients should notify us if information supplied for an active service becomes materially inaccurate or changes in a way that could affect the agreed work.
General Terms
These terms should be read together with the Consultation Booking Terms, Cancellation & Refund Policy and Privacy Policy where those documents apply to the same service arrangement.
If a separate written service agreement has been provided and accepted for a particular project, its specific terms will apply to that project where they clearly differ from these general terms.
No change to an agreed service arrangement is treated as confirmed until the relevant change has been communicated and accepted through the official communication channels.
If any provision of these terms is found to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted.
These terms may be updated when the business, service process or operational arrangements change. A revised version becomes effective when published on this page.
The version in effect when a service is confirmed will normally apply to that service unless a later change is required for operational or legal reasons.
