These terms explain how consultation bookings are arranged, confirmed, changed and completed. The aim is to keep the process straightforward for property owners and clear from the first enquiry.

Please read these terms before requesting a consultation. A booking is treated as confirmed only after the service requirements have been reviewed and the booking arrangements have been agreed. Sending an enquiry does not, by itself, create a confirmed appointment.

Scope of These Terms

These Consultation Booking Terms apply to consultation requests made for property management support provided by THE OAKPLACE MANAGED. They cover the initial consultation arrangement and the practical process used to review a client’s requirements.

A consultation may cover matters such as property maintenance coordination, tenant liaison, move-in preparation, property condition matters, or other property management requirements agreed between the client and the business.

Where a separate service agreement or written quotation is provided for work after the consultation, that document may contain additional terms specific to the agreed service.

Booking Requests

Consultation requests should be submitted with enough information for the requirements to be understood. This may include the property type, general location, service required and any practical details that may affect the consultation.

Minimum Notice

Consultation bookings must be requested at least 1 full day in advance.

Same-day consultation bookings are not available.

Booking Confirmation

Sending a booking request does not mean that an appointment has been accepted. Each request is reviewed based on the service requirements, the information supplied and available scheduling arrangements.

A consultation becomes confirmed only after the relevant details have been reviewed and the appointment arrangements have been agreed through our official communication channels.

If further information is needed before a consultation can be confirmed, we may contact the client to clarify the requirements. The requested appointment time will not be treated as reserved until confirmation has been provided.

Payment Arrangements

Payment arrangements are confirmed after the service requirements have been reviewed. The amount, timing and available payment method will depend on the consultation or service being arranged.

THE OAKPLACE MANAGED does not process online payments through this website.

After the consultation or service details have been reviewed, customers will receive the relevant payment information and booking arrangements through our official communication channels.

Available payment methods may vary depending on the agreed service arrangements and customer requirements.

No payment arrangement is treated as confirmed until the relevant details have been communicated and agreed.

Changes and Cancellations

If a client needs to change or cancel a confirmed consultation, they should contact us as soon as reasonably possible using the official contact details provided on this page.

Changes are subject to availability. A requested new time is not automatically available, and a new appointment must be confirmed before it can be treated as arranged.

Where a consultation has already been confirmed, any applicable payment or cancellation arrangement will be based on the specific terms communicated when the booking was agreed.

  • Requests to change an appointment should be made as early as possible.
  • New appointment times remain subject to availability.
  • A replacement appointment is only confirmed after it has been agreed.
  • Any agreed payment adjustment will be communicated directly to the client.

Client Responsibilities

Clients are responsible for providing information that is reasonably accurate and relevant to the consultation. This helps us understand the property and the type of support being requested.

If important information changes before the consultation, the client should let us know as soon as possible. This includes changes to the property, access arrangements, contact details or the main reason for requesting the consultation.

Where a consultation depends on information or access being provided by the client, delays caused by missing information or unavailable access may affect the timing or scope of the consultation.

Consultation and Service Arrangements

A consultation is intended to establish a clear understanding of the client’s requirements and to discuss suitable next steps. The consultation itself does not automatically include every property management service that may be discussed.

If further work is requested, the scope, deliverables, timescales and service fee will be discussed separately before that work begins.

Any estimated timescale is provided as a practical guide unless a specific completion date has been agreed in writing. Timing may depend on access, client information, property circumstances and other practical requirements.

Disclaimer and Reasonable Limitations

Practical Information, Not a Guarantee of Outcome

Information discussed during a consultation is based on the details available at the time and is intended to support practical property management decisions. It should not be understood as a guarantee that a particular result, cost, completion time or third-party response will be achieved.

Where circumstances depend on tenants, contractors, suppliers, property access, building conditions, external organisations or other parties outside our direct control, the timing and outcome may vary.

We will use reasonable care when carrying out agreed consultation and service activities. However, we are not responsible for delays or changes arising from information that was unavailable, inaccurate or provided after the agreed arrangements, or from circumstances that could not reasonably be controlled by us.

Nothing in these terms is intended to remove or restrict any responsibility that cannot lawfully be excluded or limited.

Information Used for Booking

Information supplied during a consultation request may be used to review the request, communicate with the client, prepare service arrangements, manage the appointment and keep appropriate business records.

Booking information is handled in accordance with our Privacy Policy. We aim to respond to booking-related enquiries within 30 days where a longer period is not reasonably required because further information is needed.

Basic booking records may be retained for up to 12 months after the last communication where no service proceeds. Records relating to completed services may be retained for up to 7 years where they are reasonably required for business or accounting records.

These terms may be updated when the business process or service arrangements change. Any revised version becomes effective when it is published on this page. The version available at the time a booking is confirmed will normally apply to that booking, unless a later change is required for operational or legal reasons.

If any part of these terms is found to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted.
